Troubleshooting guide: Cleaning your customer database

If you’ve noticed a sudden increase in customer profiles in Marsello, spam or bot signups may be inflating your database. This guide walks you through how to identify suspicious customer records and bulk remove them from your Marsello account.


Before you begin

 

⚠️ Important: Removing customers from Marsello will:

  • Remove them from your loyalty program
  • Prevent them from receiving marketing emails or SMS
  • Reduce your active customer count
  • Prevent those removed customers from automatically syncing back into Marsello after future purchases

Step 1: Export your customer database

  1. In your Marsello admin, go to: Customers > All Customers
  2. Locate the: Export / down-arrow icon next to the sort-by feature.
  3. Click the icon to export your customer database as a CSV file.

Step 2: Search for unusual customer names

  1. Open the exported CSV file in your spreadsheet software.
  2. Sort the file by: Customer Name
  3. Look for suspicious or generic names such as:
    • John Doe
    • Anonymous
    • Random strings of characters
    • Incomplete names
  4. Copy suspicious records into a new CSV file.
  5. Save the new file as: spam-customers-to-remove.csv

Step 3: Search for suspicious email addresses

  1. Return to your original export file.
  2. Sort the file by: Email Address
  3. Look for email patterns such as:
    • Random letters and numbers
    • Nonsensical usernames
    • Bot-like formatting
    • Temporary email domains
  4. Example suspicious email: xy12ab34@domain.com
  5. Copy suspicious records into your: spam-customers-to-remove.csv

Step 4: Bulk remove spam customers

 

⚠️ Important: Double-check the email addresses before removing customers. This action removes them from your Marsello subscription and loyalty program.

  1. In your Marsello admin, go to: Customers > All Customers
  2. Open the Update Customer List dropdown menu.
  3. Select Bulk remove customers by email
  4. Paste the customer email addresses into the popup window.
  5. Ensure:
    • One email address appears per line
    • No extra spaces are included
  6. Click Remove Customers
  7. Review the list carefully.
  8. Click Yes, Remove Customers to confirm.

What happens after removal?

Removed customers will:

  • No longer count toward your active customer database
  • No longer receive marketing campaigns
  • No longer participate in your loyalty program

Best practices for preventing spam customers

  • Review customer growth regularly
  • Monitor signup forms for unusual activity
  • Use CAPTCHA or spam protection on forms where possible
  • Verify marketing opt-in collection methods
  • Regularly clean inactive or suspicious accounts
